Appointment reminders on WhatsApp for clinics, salons and service businesses

September 6, 2026 · 4 min read

An empty appointment slot is lost income, and most no-shows aren't rude. People forget, or something comes up and they don't think to call. A reminder on the app they already have open all day fixes a lot of that.

Who benefits most

  • Clinics and dental practices
  • Salons, barbers and spas
  • Tutors and coaching centres
  • Repair shops and workshops
  • Consultants, lawyers and accountants

A reminder schedule that works

  1. At booking: a confirmation with the date, time and place.
  2. One day before: a reminder with an easy way to reschedule.
  3. Two hours before, if the appointment is same-day sensitive: a short heads-up.
  4. After the visit: a thank you, and a link to leave a review if you want one.

Sample wording

"Hi {{name}}, a reminder that you're booked at {{business}} tomorrow, {{date}}, at {{time}}. Reply to this message if you need to change it. See you then."

It's short, it has everything the person needs, and it invites a reply. Because appointment reminders relate to something the customer booked, they normally qualify as utility templates.

Use the reply window

When a customer replies to your reminder, a 24-hour window opens. Inside it you can chat freely with plain text: confirm the new time, answer a question about parking, send directions. Meta doesn't charge you for those replies. On the Growth plan and above, Notivo puts the reply on the contact record, where anyone on the team can pick it up.

Keep it useful

Reminders are the messages people are happiest to receive. Don't spoil that by slipping offers into them. Send promotions as their own campaign, to contacts who agreed to hear about offers, and keep the reminders strictly about the appointment.
